Arrangement:
The tour has been arranged by Brandstrup Travels Inc – Welcome2Africa, Durban, in cooperation with local tour-operators.

Payment/Acceptance of booking:
The contract is binding for both parties, when the deposit or the balance determined by Brandstrup Travels Inc – Welcome2Africa has been paid on time. By paying the deposit the client also confirms the acceptance of the terms and conditions which the client has received either in writing or which is stated in the brochure/website www.welcome2africa.com. If the deposit has not been paid on time, the contract is terminated. The balance for the tour must be paid at the latest 30 days before departure unless otherwise stated in the invoice. Hereafter the relevant travel documents will be sent to the client, so that the client will be in possession of these at the latest 7 days before departure.

The price of the tour/Price changes:
The price of a tour consists of services which will be specified for each destination. Additional fees will also be specified for each destination. In accordance with the law, Brandstrup Travels Inc – Welcome2Africa can increase the initial price due to increases in expenses in transport, including increases in fuel prices, tax changes, fee changes as well as changes in exchange rates.

Price changes with reservations:
In the event that Brandstrup Travels Inc - Welcome2Africa can obtain an exact price or rate for a hotel, tour, car rental etc. the selling price will quoted with reservations for changes. Welcome2Africa is obligated to inform the client of the actual price/rate as soon as it is made available from the supplier. In the event that the actual price/rate is higher than the first quoted price, the client can cancel the contract without any fees.

Changes/Cancellation:
Unless otherwise stated on the invoice the following rules are applicable:
The arrangement has NOT been issued:
In the event that the arrangement is cancelled before it has been issued 50% of the arrangement’s total price is lost, at a max the deposit.
The arrangement has been issued:
In the event that the arrangement is cancelled after it has been issued. The total cost of the arrangement is lost.

NOTE: In the event that a package, a tour, a car or hotel reservation is subject to different cancellation rules than the above mentioned, these will be applicable and will be stated on the invoice, brochure or told to the client at the time of reservation.

Cancellation due to acute illness:
It is recommend that you take out a policy that covers any expenses in case of acute illness, accidents or death occurring before departure and which effects the traveller him- or herself, spouse, children, parents or siblings. This protection will only be valid if a medical certificate is send to the travel agency at the latest 1 week after cancellation. The premium is 5% of the total cost of the arrangement. If the medical certificate is not send in or if the cancellation is due to other causes the normal cancellation rules will be applicable.

Travel Insurance/Injuries:
All travellers must be covered sufficiently by a travel insurance. A travel insurance should cover expenses caused by illness, accidents, transport to your home country and loss or theft of luggage.
It is advised that people travelling to foreign countries do not walk around unaccompanied in unknown areas, especially after dark, without consulting Brandstrup Travels Inc - Welcome2Africa first.

Airlines’ responsibilities:
The participating airlines are not responsible for any occurrences at times when the traveller is not onboard the particular airlines’ flight. For liability in case of lost or damaged luggage the client is referred to particular airline’s own regulations.

The client’s duties:
It is the passenger’s responsibility before departure to check that first- and surnames in airline tickets, passports and other travel documents are correct and tally. If any mistakes are noticed it is the client’s responsibility to contact the travel agency as soon as possible so that the mistake can be rectified.

Passport, visa and vaccinations:
Where Brandstrup Travels Inc – Welcome2Africa inform about visa regulations and vaccination requirements these regulations are only applicable to Danish citizens who are travelling for tourism reasons. If the traveller is not a Danish citizen or if he or she is travelling for business, study or other work related reasons it is advisable for the traveller to contact the embassies/consulates regarding the entry regulations of the particular country/countries. Travellers of foreign citizenship should inform the travel agency of this at the time of booking. If this is not done the travel agency cannot be held responsible for the consequences caused by non complying or insufficient travel documents. Note that regulations can change from the time of booking to the time of departure. Brandstrup Travels Inc – Welcome2Africa cannot be held responsible for any clients who for some or other unknown reason are turned down at the border or point of entry. Some countries have regulations regarding sufficient funds during the period of stay as well as a valid return ticket.

No show:
Passengers who are not at the departure point at the given time or who cannot participate in the tour due to invalid or missing passport/visas will not receive any compensation of any kind.

Transfer of the arrangement:
In theory individual travels can be transferred to another person, but if a flight is fully booked airlines will not accept name changes of any kind, which in practice means that a person will step in front of other people in line. Besides parts of the travel arrangement may be based on special tickets which cannot be changed after reservation meaning that any changes will result in having to buy a new ticket. We therefore refer to the normal rules regarding cancellation.

The tour operator’s responsibility:
Brandstrup Travels Inc – Welcome2Africa is acting as an agent for the particular airlines, touring companies, hotels and other companies used in connection with the arrangement. Brandstrup Travels – Welcome2Africa’s responsibility for flaws as well as personal and material damages is limited to the compensation our suppliers has limited their responsibility to in accordance with current international conventions regarding air, maritime and rail transport.
The compensation amounts in these international conventions are usually very low. In case of personal damage during air transport they are usually not more than Danish Kroners 100.000,- Compensation for lost or damaged luggage is usually also very low. Brandstrup Travels Inc – Welcome2Africa therefore recommends that you take out a travel insurance. Tour operator cannot be held responsible for any promises or deals that have been made between the travel agency and the client without the tour operator’s knowing. The tour operator cannot be held responsible for any changes, delays etc. caused by breach of contracts, strikes, weather or any other conditions that the tour operator does not have influence over.

Changes/cancellations:
The tour operator reserves the right to make any necessary changes caused by lack of participation or other reasons. If the client hereafter decides not to participate in the travels, the amount that has been paid to the tour operator will be refunded to the client. No further claims can be made. The tour operator can with 14 days notice cancel a planned journey. The amount paid to the tour operator will hereafter be refunded to the client. No further claims can be made here either. On some of our more adventure-like tours we operate with fairly late changes in order to create the best possible tour taking weather as well as other local conditions into considerationl.

Other terms/conditions:
The tours are conducted in accordance with the Danish Travel Associations terms and conditions for package tours. All of our local agents in Southern Africa are members of the respective countries travel associations and on tour their terms and conditions will apply.
Any claims and/or complaints must be done in writing and sent to Brandstrup Travels Inc - Welcome2africa at the latest 1 month after the return from your tour.
